Physical Inventory Journal in Microsoft Dynamics NAV 2017

Physical Inventory Journal allows user to

  • print out inventory checklist to perform physical stock count
  • post adjustment of the difference between system physical and inventory quantity.

The complete process involves the following three tasks:

  • Print Physical Inventory Checklist.
  • Enter and Post Inventory Adjustment Quantity
  • View Item Ledger Entries.

Section A: Print Physical Inventory Checklist.

Steps to print Physical Inventory Checklist, to allowed Person in Charge to update Physical Inventory Quantity.

  1. Navigate to Departments > Financial Management > Inventory > Costing > Phys. Inventory Journals.
  2. In Ribbon’s Home Tab > Click Calculate Inventory to filter which Item need to perform physical stock count.

  1. Enter filter info to select the Inventory Checklist, click OK.

Example: Posting Date – 31/1/2019, Document No. T02001 and Location = BLUE

  1. Inventory list will show in Journal Line.

  1. In Ribbon’s Home Tab > Click on Print.
  2. Under Options tab

Show Qty.(Calculated): Document will print out System Inventory Quantity.

Show Serial/ Lot Number: Document will print out Serial or Lot Number.

  1. Click Print or Preview to view the document.
  2. Physical Inventory Checklist.

Distribute this checklist to Person in Charge to update Physical Inventory Quantity.

Section B: Enter and Post Inventory Adjustment Quantity

Steps to enter and post Inventory Adjustment quantity after received the updated Physical Inventory Checklist from Person in Charge.

  1. Navigate to Departments > Financial Management > Inventory > Costing > Phys. Inventory Journals.

  1. Update the Physical Inventory Quantity into Qty.(Phys. Inventory) column.

Example: Item No.1900-S, Physical Qty is 55. (Quantity Increase)

Item No.1906-S, Physical Qty is 60. (Quantity Decrease)

Item No.1908-S, Physical Qty is 234. (Same Quantity)

  1. System will auto update Entry Type and Quantity, after Qty.(Phys. Inventory) entered in step 2.
  2. In Ribbon’s Home Tab > Click Post.
  3. Click Yes to confirm post the Journal.
  4. Physical Inventory Journal are post successfully.

Section C: View Item Ledger Entries.

Steps to view Item Ledger Entries to check the entries of adjustment.

  1. Navigate to Departments > Warehouse > History > History > Item Ledger Entries.
  2. Use Document No. to filter out information to view.

Example: Document No. T02001

  1. Item Ledger Entries will show out the list of the inventory adjustment.
